About the role
Responsibilities
- Provide front desk support, including welcoming visitors, managing incoming calls, and monitoring shared mailboxes.
- Serve as the focal point for the creation and tracking of contracts using UNESCO's SAP-based ERP system.
- Support procurement processes by preparing documentation for goods and services and maintaining vendor registration.
- Coordinate building management tasks, including maintenance requests, security, cleaning services, and stockroom management.
- Manage logistics such as arranging shipments, liaising with customs, and maintaining accurate asset and inventory records.
- Draft routine correspondence, memoranda, and non-substantive reports while maintaining confidential files.
Requirements
- Completion of secondary, technical, or vocational school education.
- Minimum of five (5) years of professional experience in administration, finance, procurement, or human resources within a large organization.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
- Excellent written and spoken knowledge of both English and French.
- Must have the legal right to work in Canada.
Preferred Qualifications
- Diploma of College Studies (DCS/DEC) in social sciences, accounting, finance, or a related field.
- Experience working within an international organization or the United Nations system.
- Practical knowledge of procurement, contract administration, and vendor management.
- Demonstrated experience using SAP or other Enterprise Resource Planning (ERP) systems.
- Knowledge of another official UNESCO language (Arabic, Chinese, Russian, or Spanish).
