About the role

Responsibilities

  • Provide front desk support, including welcoming visitors, managing incoming calls, and monitoring shared mailboxes.
  • Serve as the focal point for the creation and tracking of contracts using UNESCO's SAP-based ERP system.
  • Support procurement processes by preparing documentation for goods and services and maintaining vendor registration.
  • Coordinate building management tasks, including maintenance requests, security, cleaning services, and stockroom management.
  • Manage logistics such as arranging shipments, liaising with customs, and maintaining accurate asset and inventory records.
  • Draft routine correspondence, memoranda, and non-substantive reports while maintaining confidential files.

Requirements

  • Completion of secondary, technical, or vocational school education.
  • Minimum of five (5) years of professional experience in administration, finance, procurement, or human resources within a large organization.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
  • Excellent written and spoken knowledge of both English and French.
  • Must have the legal right to work in Canada.

Preferred Qualifications

  • Diploma of College Studies (DCS/DEC) in social sciences, accounting, finance, or a related field.
  • Experience working within an international organization or the United Nations system.
  • Practical knowledge of procurement, contract administration, and vendor management.
  • Demonstrated experience using SAP or other Enterprise Resource Planning (ERP) systems.
  • Knowledge of another official UNESCO language (Arabic, Chinese, Russian, or Spanish).
