Operational Support Specialist

Responsibilities

• Review sold jobs and verify project details for accuracy and completeness
• Ensure materials and job information are properly entered into ServiceTitan
• Audit job records and maintain data integrity across company systems
• Create and manage purchase orders and coordinate material orders with vendors
• Track order status and communicate updates to internal teams and customers
• Maintain accurate customer and project records
• Support scheduling and operational teams by ensuring jobs are properly prepared
• Identify discrepancies and resolve issues before projects move forward
• Communicate effectively with customers, technicians, installers, vendors, and internal departments

Requirements

• High school diploma or GED
• Strong attention to detail and accuracy
• Basic accounting and math skills
• Strong typing and computer proficiency
• Proficiency with Microsoft 365 (Excel, Outlook, Word, Teams)
• Excellent written and verbal communication skills
• Strong organizational and time-management abilities
• Ability to manage multiple priorities in a fast-paced environment

Preferred Qualifications

• Experience using ServiceTitan or similar CRM/service management software
• Previous experience in operations support, project coordination, administrative support, purchasing, dispatching, or customer service
• Experience in the home services, construction, installation, or service industry
• Purchasing, inventory, or materials management experience
