About the role
Responsibilities
- Provide direct support to the Wavemaker CEO including calendar management, travel bookings, and expense reconciliation
- Act as the primary on-the-ground contact for Sydney client meetings, coordinating room bookings, catering, and technology setup
- Partner with the Head of People & Culture to deliver onboarding experiences, including equipment ordering and IT logistics
- Coordinate internal events such as town halls, team socials, and offsites
- Collaborate with EA and admin peers across Sydney, Melbourne, and Brisbane to align on processes and provide leave cover
- Participate in the WPP Media EA "Glue Crew" for network-wide initiatives
Requirements
- Proven experience in office administration, team assistant, reception, or office management
- Experience within a media, creative, or agency environment preferred
- Exceptional organizational and time-management skills
- High proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel)
- Strong attention to detail in document management and internal communications
- Proactive approach to problem-solving and anticipating office needs
Preferred Qualifications
- Experience providing direct executive support to C-suite leaders
- Track record of coordinating large-scale internal events or multi-day offsites
- Experience working across multiple agencies or office locations simultaneously
