About the role

Responsibilities

  • Manage incoming calls, service requests, and customer inquiries to ensure timely resolution
  • Coordinate and dispatch field staff, managing daily schedules, work orders, and project timelines
  • Serve as the primary point of contact for customers to address concerns and maintain communication
  • Support end-to-end project coordination, including tracking progress and maintaining accurate documentation
  • Oversee daily office operations, including supplies, equipment, maintenance, and vendor coordination
  • Manage municipal registrations and obtain necessary permits for commercial and residential projects
  • Maintain and organize project files, trackers, and office documentation
  • Ensure compliance with company policies, safety regulations, and operational standards
  • Work closely with the service department on daily tasks and maintain office supply stock

Requirements

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Proficiency in MS Office, specifically MS Excel and MS Outlook
  • Strong knowledge of office administration responsibilities, systems, and procedures
  • Excellent time management, multi-tasking, and prioritization skills
  • Strong organizational, planning, and problem-solving abilities
  • Excellent written and verbal communication skills
  • High School degree required

Preferred Qualifications

  • Experience with Foundation Accounting Software or Office 365
  • Additional qualifications as an Administrative Assistant or Secretary
