About the role

Responsibilities

  • Maintain complete ownership of physical office spaces in New York and Utah, ensuring all areas are clean, organized, and professional
  • Proactively monitor, order, and restock all office and kitchen supplies
  • Oversee the sorting, distribution, and tracking of all incoming and outgoing mail and packages
  • Manage meeting room schedules, resolve booking conflicts, and ensure rooms are well-equipped
  • Act as the primary point of contact for building management, repairs, and general maintenance coordination
  • Lead contract negotiations with office vendors and service providers to ensure favorable terms
  • Greet clients, candidates, and vendors as the professional face of the company in the New York office
  • Plan and execute internal office events, happy hours, and team-building activities
  • Assist HR with new hire onboarding, including workspace preparation and office tours
  • Enforce office policies and ensure health, safety, and security compliance

Requirements

  • 3+ years of experience in office management, facilities management, or high-touch hospitality operations
  • Ability to work on-site daily in the New York office (Monday–Friday)
  • Strong negotiation and vendor management skills with a track record of securing favorable terms
  • Excellent organizational, multitasking, and problem-solving abilities
  • Exceptional written and verbal communication skills with high attention to detail
  • Proactive "ownership mentality" and ability to work independently or as part of a team
