About the role

Responsibilities

  • Coordinate internal meetings and events end-to-end, including logistics, catering, and post-event reconciliation
  • Manage the Bryant Park office environment to ensure it remains clean, organized, and well-stocked with stationery and refreshments
  • Work proactively with the Americas Executive Team (AET) to coordinate high-level meetings and assist leadership with various tasks
  • Manage event registration via Cvent and conduct venue sourcing, including submitting RFPs and negotiating supplier contracts
  • Serve as the primary point of contact for guests, organizing transport, hotel accommodations, and restaurant reservations
  • Maintain office branding, signage, and AV equipment, troubleshooting technical issues in coordination with the IT department
  • Partner with the FCTG Property Team and building management to ensure timely repairs and facility maintenance

Requirements

  • Proficiency with Microsoft Office suite (Word, Excel, and PowerPoint)
  • Competency with technology and the ability to troubleshoot meeting room AV equipment
  • Strong organizational skills and the ability to work effectively under pressure
  • Proactive mindset with the ability to demonstrate initiative and resourcefulness
  • Excellent communication skills and a professional manner when interacting with senior management and external vendors

Preferred Qualifications

  • Post-secondary certification in office, meeting, or event management
  • Previous experience in office management or event coordination
  • Experience as an Executive Assistant or working closely with senior management
