About the role
Responsibilities
- Conduct regular facility inspections to ensure efficient and effective operations
- Coordinate and oversee all maintenance and repairs, including managing external contractors
- Monitor and manage inventory for all facility supplies and materials
- Maintain accurate records of all facility inspections and maintenance activities
- Support the Facilities Manager with long-term facility plans, upgrades, and improvements
- Manage vendor payments, including printing cheques and making daily deposits
- Handle office supply orders, business cards, and other special requests
- Provide backup support for reception duties as needed
- Support office security through access card management and scheduling security guards
- Coordinate HVAC and lighting requirements for special events
- Work with procurement to set up new vendors and define payment terms
Requirements
- High school diploma required; post-secondary education preferred
- Experience coordinating maintenance activities and working with external vendors or contractors
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong communication skills and the ability to collaborate cross-functionally
- Ability to work independently and proactively in a fast-paced environment
