About the role

Responsibilities

  • Conduct regular facility inspections to ensure efficient and effective operations
  • Coordinate and oversee all maintenance and repairs, including managing external contractors
  • Monitor and manage inventory for all facility supplies and materials
  • Maintain accurate records of all facility inspections and maintenance activities
  • Support the Facilities Manager with long-term facility plans, upgrades, and improvements
  • Manage vendor payments, including printing cheques and making daily deposits
  • Handle office supply orders, business cards, and other special requests
  • Provide backup support for reception duties as needed
  • Support office security through access card management and scheduling security guards
  • Coordinate HVAC and lighting requirements for special events
  • Work with procurement to set up new vendors and define payment terms

Requirements

  • High school diploma required; post-secondary education preferred
  • Experience coordinating maintenance activities and working with external vendors or contractors
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong communication skills and the ability to collaborate cross-functionally
  • Ability to work independently and proactively in a fast-paced environment
