About the role

Responsibilities

  • Act as the primary point of contact for the Office of the President
  • Manage the President’s calendar, coordinate schedules, and handle all travel arrangements
  • Coordinate scheduling and invitations for functions hosted by the President
  • Serve as the facilities coordinator for the President’s suite, including conference room setup
  • Collect and archive records for the Senate, President’s reports, and Board of Trustee meetings
  • Process invoices, requisitions, and reimbursements in accordance with College policy
  • Maintain close coordination with the OCC Foundation and other College offices on special projects
  • Support the development and maintenance of office budgets
  • Represent the President at on- and off-campus functions as appropriate

Requirements

  • Associate’s degree
  • Three years of prior client service experience
  • At least one year of office or business support experience involving high-volume scheduling, record maintenance, and professional document preparation
  • Proficiency in Microsoft Office Suite and administrative software
  • Strong organizational skills and the ability to prioritize tasks effectively
  • Excellent communication and interpersonal skills
  • Ability to maintain strict confidentiality and handle sensitive information with discretion

Preferred Qualifications

  • Administrative experience within a Community College setting
  • Bilingual proficiency in English and Spanish
