About the role
Responsibilities
- Greet clients upon arrival and answer incoming calls to provide information or transfer to appropriate team members
- Set up and maintain the client management system, including documenting client contacts and calls
- Prepare correspondence for advisor signatures and manage client appreciation tasks such as writing notes or letters
- Schedule client appointments and conduct reminder or follow-up calls
- Coordinate marketing and team culture events, including room reservations, catering, and invitations
- Manage office supply inventory, organization, and ordering
- Organize client files and assist with data gathering and other practice management tasks
- Plan and prioritize own work schedule using calendars and time management systems
Requirements
- High school degree or higher
- Strong attention to detail and organizational skills
- Effective communication skills with clients and staff
- Excellent time management and multi-tasking abilities
- Ability to adhere to strict rules, regulations, and compliance guidelines
- Positive attitude and a willingness to engage in lifelong learning
