About the role

Responsibilities

  • Manage the department's main multi-line phone system to respond to public inquiries and service requests.
  • Dispatch road and park maintenance crews during urgent or emergency situations.
  • Monitor road maintenance radio communications and create work requests in the computerized maintenance management system.
  • Handle administrative tasks including accounts payable, processing purchase card transactions, and reconciling invoices.
  • Respond to public inquiries via email and provide accurate information regarding departmental procedures.
  • Maintain departmental databases, manage records, and prepare complex documents such as reports and correspondence.
  • Coordinate office operations including supply ordering, mail distribution, and conference room scheduling.

Requirements

  • 3-5 years of progressively responsible administrative support experience.
  • 3-5 years of customer service experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
  • Typing speed of at least 55 words per minute.
  • Experience with multi-line telephone operations and reception.
  • Experience with accounts payable and financial processing.
  • Ability to work onsite following a 9/80 work schedule.
