About the role

Responsibilities

  • Manage day-to-day office operations, including facilities, supplies, vendor relationships, and mail/courier processes.
  • Coordinate crew travel, accommodation, and mobilization logistics for field assignments across the Americas.
  • Support HR administration, including onboarding/offboarding, maintaining employee records, and tracking training certifications.
  • Assist with finance and procurement tasks such as processing invoices, purchase orders, expense reports, and petty cash.
  • Manage office equipment, vehicle pools, PPE inventory, and ensure compliance with workplace health and safety requirements.
  • Provide administrative support to senior leadership, including drafting correspondence and preparing reports.

Requirements

  • Minimum 3 years of experience in office management, operations coordination, or a senior administrative role.
  • Background in a service-oriented environment (e.g., field services, technical services, or contracting).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Demonstrated ability to manage multiple competing priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Must have the right to work in the United States without sponsorship.

Preferred Qualifications

  • Prior experience in the oil and gas, pipeline, or energy services industry.
  • Familiarity with field crew logistics and mobilization workflows.
  • Experience with basic HR administration and compliance tracking.
  • Exposure to procurement, accounts administration, or using ERP/HRIS systems.
