About the role
Responsibilities
- Execute daily office upkeep, monitor budget, and manage security systems
- Administer vehicle licensing, plate transfers, and fleet inspection reports
- Process vendor purchase orders, manage new vendor setups, and assist with invoice tracking
- Coordinate employee onboarding/offboarding, workspace setup, and IT equipment configuration
- Schedule 3rd party training and track professional license renewals
- Update employee master lists, organizational charts, and vacation pay requests
- Handle mail, shipping/receiving, and corporate travel arrangements
- Support safety protocols by tracking WSIB/COI certificates and maintaining team calendars
- Drive digital efficiency by transitioning files to an eFiling system
Requirements
- College Diploma in Office Administration or related discipline
- Minimum 2 years of secretarial, administrative, or fleet/facilities support experience
- Ability to obtain Government of Canada Security Clearance at the Reliability Level
- Strong organizational skills and ability to work independently
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Familiarity with fleet, safety, or trade compliance monitoring is a strong asset
- Documented proof of health and safety awareness training
