About the role
Responsibilities
- Coordinate reception of visitors and incoming packages following security protocols
- Supervise office access control, parking allocation, and common space usage
- Plan and follow up on preventive and corrective maintenance for office infrastructure
- Manage procurement processes, including vendor evaluation, quotes, and purchase orders
- Control supplies for kitchen, stationery, first aid, and cleaning services
- Conduct monthly inspections of fire extinguishers, alarms, and smoke detectors
- Act as a liaison between office EHS and the corporate Health and Safety area
- Support management of emergency drills, brigadier training, and Civil Protection procedures
- Assist in renewing government permits and safety documentation
Requirements
- Minimum 2 years of experience in office administration or general services coordination
- Knowledge of vendor management, expense control, and administrative purchasing
- Experience in corporate event organization and business travel logistics
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
- Intermediate English level (desirable)
- Strong organizational and problem-solving skills
Preferred Qualifications
- Experience in engineering, technology, or consulting firms
- Knowledge of administrative management tools and ERP systems
- Experience in budget control and report generation
