About the role

Responsibilities

  • Support overall management of office operations and logistical support, including supply inventory and upkeep of common areas
  • Promote a welcoming environment for clients and employees through professional reception expertise
  • Spearhead internal initiatives to optimize workplace experience and improve operational efficiency
  • Manage vendor relationships and ensure all contractual agreements are accurately maintained and organized
  • Act as the primary contact for employees and landlords regarding facilities, cleaning, and maintenance services
  • Lead emergency evacuation planning efforts and provide immediate assistance as a first aid certified responder
  • Collaborate with team members to plan and execute office-wide events to foster company culture
  • Provide administrative assistance to the Managing Director of Brokerage for the Quebec Region
  • Undertake ad hoc projects as required

Requirements

  • 2+ years of relevant experience in administrative and operational roles
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Excellent interpersonal and communication skills with the ability to work with diverse groups
  • Strong attention to detail, organizational skills, and the ability to prioritize tasks in a changing environment
  • Proven event planning, project administration, and coordination skills
  • First aid certification
