About the role
Responsibilities
- Lead the assignment of attendees to air charter flights based on role segmentation, business rules, and capacity constraints.
- Build, maintain, and reconcile detailed arrival and departure manifests to ensure 100% accuracy of attendee data.
- Perform ongoing audits and quality checks to identify discrepancies and maintain version control across all data sets.
- Partner with air charter vendors and internal stakeholders to align flight schedules and special requirements.
- Collaborate with registration, housing, transportation, and security teams to ensure a seamless attendee journey.
- Monitor and handle real-time changes, including cancellations, no-shows, and last-minute flight adjustments.
- Support data integration across registration systems, travel tools, and reporting dashboards.
- Generate detailed reporting on attendee movement, flight utilization, and manifest accuracy.
Requirements
- 3–5 years of experience in meetings & events, travel logistics, or attendee management.
- Advanced proficiency in Google Sheets, including pivot tables, formulas, and data validation.
- Experience with event technology platforms such as Cvent.
- Strong expertise in managing large datasets and complex travel logistics with a zero-error mentality.
- Demonstrated ability to handle sensitive, high-profile traveler information with discretion.
- Proven ability to prioritize tasks and meet tight deadlines in a fast-paced environment.
Preferred Qualifications
- Prior experience with air charter operations or group air travel logistics.
- Experience supporting executive-level or VIP attendee management.
- Familiarity with data integration across multiple systems and platforms.
- Experience supporting large-scale, global, or high-security events.
