About the role

Responsibilities

  • Manage end-to-end air charter flight assignments and attendee logistics for high-visibility programs.
  • Own attendee-to-flight assignments for executives, speakers, VIPs, and staff based on specific business rules and capacity constraints.
  • Build and reconcile detailed arrival and departure manifests with high accuracy, including travel windows and special accommodations.
  • Perform regular audits and quality checks to ensure data integrity and resolve discrepancies.
  • Collaborate with registration, housing, transportation, and security teams to ensure a seamless attendee journey.
  • Monitor real-time changes such as cancellations, delays, and substitutions, rapidly reassigning attendees as needed.
  • Generate reports on attendee movement and flight utilization to identify process improvement opportunities.

Requirements

  • 3–5 years of experience in meetings and events, travel logistics, or attendee management in high-volume environments.
  • Advanced proficiency in Google Sheets, including pivot tables, formulas, and data validation.
  • Experience using event technology platforms such as Cvent and various travel tools.
  • Strong analytical and problem-solving skills with the ability to manage large datasets.
  • Deep knowledge of domestic and international airport logistics and travel routing.
  • Exceptional attention to detail and a zero-error mindset.
  • Ability to maintain discretion and professionalism when handling sensitive, high-profile information.
