Meeting Supervisor

Responsibilities

• Independently manage and execute speaker bureau meetings, launches, and trainings for life sciences clients
• Oversee end-to-end program logistics including venue sourcing, contract negotiations, travel, and audiovisual production
• Plan and execute high-quality virtual and hybrid meetings, including platform configuration and technical troubleshooting
• Negotiate optimal rates and contract terms with vendors for food, beverage, and accommodations
• Maintain client compliance and track attendee spend reports in alignment with Open Payments guidelines
• Manage budgets, review invoices, and ensure financial accountability across all assigned programs
• Collaborate cross-functionally with Client Services and Meeting Services to drive project progress

Requirements

• Bachelor's degree or 8 years of experience in a pharmaceutical hospitality role
• Proven experience planning speaker bureau meetings (live, virtual, or hybrid)
• Proficiency with Zoom, Microsoft Teams, and Excel
• Strong vendor negotiation and budget management skills
• Ability to travel up to 25-30% annually

Preferred Qualifications

• Certified Meeting Professional (CMP) designation
• Experience with Cvent or Bureau Platforms
