Meeting Planner

Responsibilities

• Lead program planning from contract execution to final billing, ensuring high-quality meeting logistics
• Coordinate and implement program logistics and manage relationships with high-quality vendors
• Ensure supplier contracts are legally protective for both the company and the client
• Manage program costs, identify savings strategies, and review all invoices for accuracy
• Determine program needs for online registration and assist event owners with attendee communication
• Handle logistics with venue staff and coordinate vendor performance during events
• Conduct program debriefs with clients and provide comprehensive post-event briefing reports
• Develop service recovery plans and maintain expertise in software solutions like Cvent
• Create winning proposals, detailed presentations, and accurate commercial quotations

Requirements

• Proven experience in project management, meetings management, and client management
• Experience working within and managing budgets
• Strong prioritization and organizational skills
• Excellent written and verbal communication skills
• Proficiency with Cvent or similar event management technology
• Willingness to travel internationally and domestically up to 25% of the time
• Knowledge of incentive trips and various client meeting types
