About the role

Responsibilities

  • Plan and execute domestic and international commercial meetings, education programs, and conventions, including symposiums, advisory boards, and medical device training labs.
  • Manage all logistical aspects such as attendee registration, ground transportation, air travel, hotel accommodations, and audio-visual requirements.
  • Oversee attendee recruitment and registration initiatives using CVENT, including the design and proofreading of digital and print communication materials.
  • Coordinate with internal teams (Marketing, Tech Support, Operations, etc.) to order equipment, samples, and supplies for event installation.
  • Ensure all programs comply with corporate, industry (AdvaMed/Pharma), and federal/international regulatory guidelines for interacting with Healthcare Providers (HCP).
  • Manage program budgets, track expenses in CVENT, and ensure accurate reporting of transfers of value to healthcare professionals.
  • Negotiate with vendors and review contracts within the legal contract management system to ensure cost-effective procurement.
  • Provide on-site management for commercial programs, which may include weekend work and travel.

Requirements

  • Bachelor's Degree or equivalent years of directly related experience.
  • Fluency in reading, writing, and communicating in English.
  • Proficiency with CVENT for event registration and management.
  • Ability to travel approximately 25% of the time.

Preferred Qualifications

  • Experience in the ophthalmic or optometric business sectors.
  • Strong ability to manage multiple high-profile programs simultaneously.
  • Proven skills in vendor negotiation and contract management.
  • Ability to work effectively with senior management and external stakeholders.
