About the role
Responsibilities
- Act as the primary point of contact for medical record access requests via telephone and email
- Manage inquiries from patients, family members, legal entities, police, courts, and insurers
- Assess all requests to ensure appropriate authority is provided in accordance with the Health Records Act 2001 and the Privacy Act 1988
- Perform administrative tasks including registering requests, invoicing, payment processing, and data entry
- Prepare, collate, and release medical records through photocopying, digital exporting, and scanning
- Assist with department reception duties and ward rounds to collect patient records when required
Requirements
- Excellent customer service skills with a focus on internal and external stakeholders
- Strong written and verbal communication skills with a professional telephone manner
- High attention to detail and diligence regarding patient information accuracy
- Proven time management and organizational skills to meet legislated timeframes
- Proficiency in Microsoft Office Suite, particularly Microsoft Outlook
- Ability to work autonomously and adapt to changing processes and procedures
Preferred Qualifications
- Previous experience in a similar medical records or health information role
- Experience using Patient Administration Systems (such as iPM, WebPAS, or TrakCare)
- Experience with Scanned Medical Record systems (such as BOSSnet or CPF)
- Proficiency in medical terminology
