About the role

Responsibilities

  • Act as the primary point of contact for medical record access requests via telephone and email
  • Manage inquiries from patients, family members, legal entities, police, courts, and insurers
  • Assess all requests to ensure appropriate authority is provided in accordance with the Health Records Act 2001 and the Privacy Act 1988
  • Perform administrative tasks including registering requests, invoicing, payment processing, and data entry
  • Prepare, collate, and release medical records through photocopying, digital exporting, and scanning
  • Assist with department reception duties and ward rounds to collect patient records when required

Requirements

  • Excellent customer service skills with a focus on internal and external stakeholders
  • Strong written and verbal communication skills with a professional telephone manner
  • High attention to detail and diligence regarding patient information accuracy
  • Proven time management and organizational skills to meet legislated timeframes
  • Proficiency in Microsoft Office Suite, particularly Microsoft Outlook
  • Ability to work autonomously and adapt to changing processes and procedures

Preferred Qualifications

  • Previous experience in a similar medical records or health information role
  • Experience using Patient Administration Systems (such as iPM, WebPAS, or TrakCare)
  • Experience with Scanned Medical Record systems (such as BOSSnet or CPF)
  • Proficiency in medical terminology
