Responsibilities
- Serve as the first and last point of contact for every patient
- Answer incoming calls and convert inquiries into consultations and appointments
- Manage provider schedules and optimize appointment flow
- Confirm appointments and follow up with unconfirmed patients
- Check patients in and out while maintaining a luxury-level experience
- Educate clients on services, memberships, packages, and retail products
- Assist with retail sales and product recommendations
- Maintain accurate patient records and documentation within the EMR system
- Process payments and reconcile daily transactions
- Maintain front office cleanliness and organization
Requirements
- Minimum 2 years of front desk experience in a medical spa, plastic surgery, dermatology, aesthetic, or wellness practice
- Strong understanding of aesthetic treatments and med spa operations
- Experience with patient scheduling and EMR systems
- Excellent phone etiquette and communication skills
- Ability to multitask in a fast-paced environment
- Comfortable discussing pricing, memberships, and retail products
- Availability to work some evenings and at least one Saturday per month
Preferred Qualifications
- Knowledge of injectables, laser treatments, skincare, and wellness services
- Experience with EMR software such as Mangoming, Boulevard, Aesthetic Record, Zenoti, PatientNow, or Nextech
- Retail sales experience with medical-grade skincare products
- Experience with patient retention and rebooking strategies
