Maintenance Coordinator

Responsibilities

• Act as the central coordination point for reactive maintenance works, managing the end-to-end work lifecycle.
• Monitor active works to ensure compliance with KPIs, SLAs, and escalation pathways.
• Identify and resolve blockers such as access issues, supplier delays, or quotation hold-ups.
• Chase supplier performance by securing attendance, service reports, and quotations.
• Maintain a live jeopardy register to identify and manage jobs at risk of SLA or KPI breach.
• Provide timely and accurate status updates to Facilities Managers, customers, and end users via phone, email, and CMMS.
• Build and maintain strong stakeholder relationships with suppliers and internal teams.

Requirements

• 3-5 years of experience in service coordination, facilities support, or property maintenance administration.
• Strong understanding of Microsoft 365 products and work order lifecycle management.
• Proven ability to manage multiple reactive tasks and escalations in a high-volume environment.
• Excellent written and verbal communication skills.
• Strong organizational, planning, and analytical skills.
• Ability to work autonomously and manage competing priorities under tight timeframes.

Preferred Qualifications

• Knowledge of facilities management, property maintenance, or technical services.
• Experience working within a centralized National Contact Centre or shared services environment.
