Maintenance Administrator

Responsibilities

• Provide day-to-day administrative support to the Maintenance Manager and Maintenance Team
• Manage maintenance requests via Opera, email, and other channels
• Coordinate maintenance work schedules, servicing calendars, and preventative maintenance records
• Support departmental purchasing by raising orders and maintaining expenditure records
• Process invoices and supplier payments in coordination with the Finance Team
• Maintain records of statutory inspections, compliance checks, and servicing certificates
• Coordinate external contractors and ensure all required documentation and insurance are received
• Support the tracking of ongoing projects, repairs, and planned works
• Attend departmental meetings and take minutes
• Liaise with Heads of Department to gather requirements and provide progress updates
• Support stock control processes and departmental stock takes
• Maintain accurate filing systems in line with Company procedures

Requirements

• Previous administrative experience, ideally in maintenance, facilities, engineering, or property
• Excellent organisational and planning skills
• Ability to manage multiple tasks and changing priorities
• Strong attention to detail
• Proficiency with Microsoft Office and departmental software
• Excellent communication and relationship-building skills
• Self-motivated and able to work independently
