About the role
Responsibilities
- Coordinate day-to-day logistics including the movement of documents, office supplies, and equipment between departments and external locations.
- Manage visitor access procedures by coordinating entry approvals, maintaining visitor logs, and issuing passes.
- Monitor office access control processes to ensure employees, contractors, and service providers follow approved entry and exit procedures.
- Support courier and delivery activities by arranging pickups, managing documentation handover, and following up on deliveries.
- Conduct routine checks of office premises, access points, and common areas to identify security or operational concerns.
- Report security incidents, suspicious activity, or operational delays to the Head of Administration in a timely manner.
- Maintain accurate records related to logistics, dispatch logs, visitor logs, and incident reports.
- Coordinate with vendors, drivers, and maintenance teams to support office and facility requirements.
- Assist in emergency coordination activities, including fire drills and evacuation support.
Requirements
- Professional diploma in Business Administration, Security Management, Logistics, or a related field.
- 1–3 years of experience in logistics coordination, office administration, or security coordination.
- Knowledge of office security procedures, visitor management, and access control.
- Proficiency in Microsoft Office, specifically Excel, Word, and Outlook.
- Strong communication and coordination skills with the ability to interact professionally with visitors and vendors.
- Ability to maintain accurate documentation and follow strict organizational policies.
Preferred Qualifications
- Experience working in real estate, asset management, or facilities management environments.
- Familiarity with CCTV monitoring and visitor management systems.
- Basic understanding of health, safety, and emergency response procedures.
- A valid UAE driving license is an advantage.
