About the role
Responsibilities
- Provide complex administrative support to attorneys, paralegals, and the Litigation Practice Group with minimal supervision.
- Proactively manage timekeepers' workloads, caseloads, and calendars, including meeting and travel arrangements.
- Create, edit, redline, and proofread legal documents from various formats.
- File paper and electronic documents with appropriate courts and agencies, ensuring all deadlines are met.
- Coordinate with docketing specialists to ensure accuracy of legal proceeding dates and requirements.
- Assist with the billing process, including daily time entry, proofreading prebills, and preparing final invoices.
- Manage client/matter intake, including preliminary conflicts checks and engagement letters.
- Handle professional communications, including screening calls and processing incoming/outgoing mail and electronic communications.
- Maintain organized administrative and client files, including electronic and paper records.
Requirements
- High school diploma or equivalent.
- 7+ years of experience working within a law firm environment.
- Typing speed of at least 75 WPM.
- Strong command of the English language, including excellent spelling, grammar, and punctuation.
- Proficiency in legal terminology and procedures.
- Working knowledge of state and federal court and administrative agency rules and deadlines.
Preferred Qualifications
- Notary certification.
- Advanced knowledge of document production software and personal computer utilities.
- Experience with records management and library operations.
