Responsibilities

• Organize and attend Board meetings; record and prepare minutes
• Assist in organizing and chairing annual general meetings and other owners’ meetings
• Maintain accurate records, databases, and correspondence for the condominium corporation
• Support communication between residents, Board members, contractors, and vendors
• Conduct regular site inspections and prepare monthly manager reports
• Coordinate and monitor maintenance activities, service requests, and contractor performance
• Assist in drafting the annual operating and reserve fund budgets
• Administer financial matters including reviewing, coding, and tracking invoices
• Support the General Licensed Manager in managing projects, emergencies, and contracts

Requirements

• Strong administrative capabilities with exceptional organizational and time-management skills
• Ability to communicate effectively with residents, Board members, contractors, and internal staff
• Capacity to work independently while contributing to a collaborative team environment
• Critical thinking, problem-solving, and the ability to follow processes and procedures
• Proficiency with MS Word, Excel, and Outlook
• Must meet all annual CMRAO licensing requirements for a Limited License
