About the role

Responsibilities

  • Provide advanced administrative and coordination support across site operations
  • Coordinate workforce mobilisation, including site access, travel, and accommodation arrangements
  • Manage documentation processes, ensuring accuracy, compliance, and effective document control systems
  • Oversee data entry and reconciliation for invoices, delivery dockets, and expenses
  • Collate and distribute reports for site leadership and client requirements
  • Maintain site registers and document libraries to ensure audit readiness
  • Liaise with project teams, safety personnel, and contractors to ensure smooth operations
  • Support attendance tracking and reporting in collaboration with site teams
  • Identify opportunities to improve administrative systems and processes
  • Provide guidance and mentoring to junior administrators where required

Requirements

  • 4–8 years of experience in office management or site administration
  • Experience working within construction, infrastructure, or resource-related projects
  • Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment
  • High attention to detail and accuracy in documentation and reporting
  • Proven experience coordinating mobilisation, travel, and logistics for site-based teams
  • Proficiency in Microsoft Office and document control systems
  • Strong communication and stakeholder engagement skills
  • Knowledge of compliance requirements, auditing processes, and site procedures
  • Certificate or Diploma in Business Administration is desirable
