Hotel Sales Coordinator

Responsibilities

• Assist the Director of Sales with daily operations, reporting, and administrative tasks
• Handle group booking requests from inquiry to contract, including preparing banquet event orders (BEOs), agreements, and confirmations
• Prepare proposals, contracts, and invoices while ensuring compliance with brand standards
• Maintain and update the sales database/CRM with leads, prospects, and client information
• Generate weekly and monthly sales reports for management review
• Coordinate site visits, client meetings, and follow-ups with potential accounts
• Collaborate with front desk, reservations, housekeeping, and food & beverage departments to ensure flawless execution of events
• Support sales initiatives, marketing campaigns, and community outreach programs
• Build strong relationships with repeat clients and corporate accounts to maximize revenue

Requirements

• 2–4 years of hotel sales, catering sales, or event coordination experience
• Familiarity with hotel property management and sales systems such as Opera, Delphi, or SalesPro
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
• Strong organizational and multitasking skills with exceptional attention to detail
• Excellent written and verbal communication skills
• Ability to manage multiple priorities in a fast-paced hospitality environment
• Flexible schedule to accommodate occasional evening or weekend business needs

Preferred Qualifications

• Bachelor's degree in Hospitality Management, Business Administration, or a related field
