Guest Service Administrator

Responsibilities

• Welcome guests and provide introductory information about the site
• Serve as the first point of contact for guest and client inquiries via phone and email
• Manage the check-in and check-out process, including room allocation and key issuance
• Maintain accurate records of guest names, room assignments, and dates of stay
• Perform data entry into occupancy and property management systems
• Forecast occupancy levels and distribute arrival/departure and utilization reports
• Support site planning through accurate guest and occupancy reporting
• Assist with administrative review of safety documentation, time sheets, and maintenance records
• Support the preparation of reports using MS Excel and MS Word
• Assist the Site Manager with day-to-day administrative and operational support tasks

Requirements

• Post-secondary education in Hospitality, Business Administration, or a related field
• Minimum 1 year of logistics, hotel guest services, or administrative experience
• Minimum 1 year of accounting or administrative experience (e.g., receiving reports, work orders, payroll data entry, invoicing)
• Strong attention to detail for maintaining accurate records
• Intermediate proficiency with Microsoft Office (Excel, Word)
• Strong customer service skills with a professional and organized approach

Preferred Qualifications

• Experience with Property Management Systems or hospitality software
