About the role

Responsibilities

  • Provide front-line assistance to current and prospective graduate students regarding program policies, admissions, and complex issues.
  • Coordinate all aspects of graduate program admissions, including transcript evaluation, computing averages, and processing offers via online systems.
  • Manage award administration, including the distribution of application materials and ensuring students receive scholarships.
  • Coordinate MA and PhD thesis defenses and Comprehensive Exam preparations, including facility scheduling.
  • Oversee student appointments, including onboarding, mandatory training compliance, and processing via WorkDay.
  • Perform departmental administrative tasks such as acting as a timekeeper, reconciling credit card purchases, and managing office supplies.
  • Maintain departmental records, email lists, and telephone directories in accordance with university retention schedules.

Requirements

  • High School graduation.
  • Two-year post-secondary diploma.
  • 3 years of related administrative or student support experience.
  • Advanced proficiency in MS Word and MS Excel.
  • Commitment to enhancing awareness and skills related to equity, diversity, and inclusion.

Preferred Qualifications

  • Ability to interpret and apply complex legislation, policies, and technical information.
  • Strong attention to detail and ability to manage multiple competing priorities.
  • Excellent written and verbal communication skills for composing professional correspondence and reports.
  • Proven ability to resolve client complaints and contentious issues with tact, discretion, and sound judgment.
  • Experience working effectively with minimal supervision in a diverse environment.
