About the role

Responsibilities

  • Serve as the first point of contact for all visitors and employees, delivering a professional front-of-house experience
  • Manage incoming calls, inquiries, and boardroom scheduling including catering and technology readiness
  • Oversee daily office operations, including supply management, kitchen programs, and mail services
  • Liaise with Property Management and third-party vendors for repairs and maintenance
  • Support office reconfigurations, renovations, and IT installations
  • Maintain office security protocols and support business continuity procedures
  • Process operational invoices and track expenses against budgets
  • Support HR and IT with employee onboarding and offboarding processes
  • Assist in the planning and execution of in-office events

Requirements

  • College diploma or equivalent experience
  • 1–3 years of experience in front desk, office coordination, or administrative support
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational and communication skills
  • High level of discretion and ability to handle confidential information
  • Strong problem-solving skills and attention to detail
