About the role
Responsibilities
- Greet and check in clients to ensure a five-star experience
- Manage phone lines, emails, and text inquiries with polished communication
- Coordinate appointment scheduling to maximize provider productivity
- Process payments accurately and manage POS systems with daily reconciliation
- Present and explain memberships, packages, and retail offerings to support sales goals
- Maintain a clean, organized, and brand-aligned reception area
- Assist with client intake forms, consent paperwork, and treatment flow coordination
- Support promotional events and light social media tasks
- Uphold HIPAA compliance and follow clinic policies
Requirements
- 1–2 years of front desk or administrative experience in a med spa, dermatology, plastic surgery, or luxury hospitality setting
- Excellent verbal, written, and telephone communication skills
- Highly organized with ability to multitask in a busy environment
- Professional demeanor with a warm, client-centered presence
- Comfortable discussing services and memberships to support sales
- Proficiency with EMR and POS software (Aesthetic Record or similar)
- Availability to work some Saturdays and occasional evenings
- Reliable transportation and punctuality
