Fleet Management Associate

Responsibilities

• Maintain accurate fleet records including vehicles, maintenance schedules, compliance documentation, and checkout forms
• Monitor weekly driver inspection reports and follow up on findings
• Review PM schedules, create work orders, and coordinate maintenance and repairs with vendors
• Manage insurance claims from first notice through resolution
• Track fleet damage incidents and compile regular fleet reports
• Monitor fuel card activity and process fuel card and toll bill payments
• Maintain registration records and coordinate driver inspections for renewals
• Review telematics data in Samsara to identify policy violations and assign coaching sessions

Requirements

• 2+ years in fleet administration, logistics, or operations coordination
• Experience with a fleet management system (Fleetio and Samsara preferred)
• Strong organizational and follow-up skills
• Experience with bill payment, invoice reconciliation, and financial recordkeeping
• Familiarity with state vehicle registration processes and insurance claim coordination

Preferred Qualifications

• Prior work with fuel card programs (WEX, Fuelman, or similar)
• Knowledge of DOT inspection requirements
