Responsibilities

• Oversee facilities and equipment management
• Maintain and manage office equipment such as multi-function printers and PBX systems
• Manage vendor contracts and collaborate with global and local stakeholders for contract negotiations and renewals
• Prepare and submit integrated reports regarding budgets, financial statements, contracts, and expenditures
• Maintain fire extinguishing equipment and fire alarm systems
• Act as a point of contact for property managers, contractors, suppliers, and utility providers
• Support or manage the preparation and setup of company events
• Collaborate with business leaders to propose and formulate Business Continuity Plans (BCP)

Requirements

• 5+ years of experience in facilities, workplace, or general affairs
• Experience in vendor management and budget management
• Strong communication and negotiation skills with internal and external stakeholders
• Knowledge of contracts, compliance, information security, and handling of confidential information
• General understanding of finance and HR functions
• Multicultural understanding and adaptability
• Fire prevention and disaster management certification
• Japanese proficiency (JLPT N1 for non-native speakers)

Preferred Qualifications

• Experience working in a global matrix organization
• Bachelor's degree in business management, operations management, or related fields
• Ability to respond quickly and proactively to unexpected tasks
• Health supervisor certification
