Facilities Planned Maintenance Coordinator

Responsibilities

• Monitor and maintain compliance across all sites, including fire safety, gas safety, electrical testing, and water hygiene
• Coordinate planned preventative maintenance (PPM) schedules and ensure timely completion
• Track and follow up on remedial actions and document resolutions accurately
• Support audits, inspections, and internal compliance reviews
• Act as a central point of contact for compliance queries from staff, contractors, and management
• Raise, allocate, and monitor tasks within the CAFM system (e.g., Mainteno)
• Assist with contractor management, including onboarding and performance monitoring
• Maintain accurate compliance records, certificates, and documentation
• Work closely with Facilities Managers, Health & Safety teams, and external contractors

Requirements

• Experience in facilities management, compliance coordination, or a similar operational role
• Strong organisational skills and ability to manage multiple deadlines
• Excellent attention to detail and accuracy in record keeping
• Proficient with CAFM systems (e.g., Mainteno) and Microsoft Office
• Understanding of statutory compliance requirements within property or facilities environments

Preferred Qualifications

• Experience working across multi-site operations
• Knowledge of contractor management and procurement processes
• Familiarity with energy performance, sustainability, or environmental compliance
