Facilities Operations Specialist

Responsibilities

• Manage and track employee facilities service requests from intake to closure
• Coordinate seating plans, employee moves, and space readiness activities
• Support onboarding and offboarding logistics in partnership with IT, HR, and Security
• Administer the CMMS platform including work orders, preventive maintenance schedules, and asset records
• Maintain vendor compliance documentation including certificates of insurance and permit tracking
• Assist in preparation and distribution of RFQ packages and collect contractor bids
• Maintain project documentation including RFIs, submittals, permits, and inspection records
• Support small project cost tracking and reporting under Facilities leadership direction

Requirements

• Must be a U.S. Person due to export control requirements
• Minimum of 6 years’ experience in facilities coordination, workplace operations, or project administration
• Working knowledge of CMMS platforms and facilities workflow systems
• Proficiency in Microsoft Office, SharePoint, and document control practices
• Strong organizational, documentation, and follow-through skills
• Ability to work across office, laboratory, warehouse, and manufacturing environments

Preferred Qualifications

• Experience working in manufacturing, aerospace, laboratory, or technical environments
• Experience supporting construction administration or facilities project documentation
• Experience maintaining vendor compliance and audit documentation
• Familiarity with building systems and general facilities operations
• Experience generating operational dashboards or reporting metrics
