About the role

Responsibilities

  • Provide general facility management services, including continuous monitoring of the office and facility.
  • Address client inquiries and concerns to ensure timely and quality issue resolution.
  • Coordinate with outside contractors for equipment service, repairs, and maintenance.
  • Create and assign work orders to engineering staff, subcontractors, and vendors.
  • Serve as the first point of contact for employees and visitors, providing professional greeting and direction.
  • Manage reception areas, pantries, and common spaces to ensure they are clean and organized.
  • Coordinate special events, including conference room space, catering, and invitations.
  • Act as the first line of response for technology and facility-related troubleshooting.
  • Manage incoming and outgoing mail and deliveries via USPS, FedEx, UPS, and DHL.

Requirements

  • High school diploma or GED required.
  • Minimum of 1 year of experience in an administrative, accounting, or tenant services capacity.
  • Proven customer service experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Knowledge of building systems and lease terms.
  • Ability to work a flexible schedule, including potential after-hours or weekend needs.

Preferred Qualifications

  • Associate's or Bachelor's degree in facilities management, business, or a related field.
  • Previous experience in property management, commercial real estate, or professional services.
  • Understanding of management agreements and contract language.
