Facilities Assistant

Responsibilities

• Ensure the daily smooth operation of the offices
• Perform rounds to validate doors, rooms, lighting, pantry, coffee, and common areas
• Open and monitor building maintenance requests
• Supervise vendors including cleaning, maintenance, and concierge services
• Control inventory for pantry, cleaning, and office supplies
• Support room organization, layout planning, and internal demands
• Register and track employee requests
• Assist with cost control, contracts, and invoices
• Maintain organization, security, and proper use of the workspace
• Act preventively by proposing solutions and improvements

Requirements

• Degree completed or in progress in Administration or related fields
• Experience in administrative, operational, or Facilities routines
• Experience monitoring building maintenance and/or managing vendors
• Proficiency in Microsoft Office, specifically using Excel for spreadsheets
• Strong organizational skills, attention to detail, and clarity in documentation
