About the role
Responsibilities
- Manage the General Manager's calendar, appointments, and travel arrangements
- Prepare correspondence, reports, presentations, meeting agendas, and minutes
- Coordinate departmental and management meetings and follow up on action items
- Handle confidential documents, contracts, and executive correspondence
- Act as a communication link between the Executive Office and hotel departments
- Organize VIP visits, corporate meetings, and special events
- Screen calls, emails, and visitors
- Maintain accurate records, files, and office documentation
- Manage executive office expenses, budgets, and vendor invoicing
- Coordinate with Human Resources on staffing and administrative issues
- Prepare briefing materials and research summaries for executive meetings
- Oversee office technology and coordinate IT support
Requirements
- Bachelor's degree in Business Administration, Hotel Management, or related field
- 3-5 years of professional experience in executive support
- Proficiency in Microsoft Office Suite and hotel management software
- Excellent written and verbal communication skills in English
- Strong organizational and time management abilities
- Ability to maintain confidentiality and exercise discretion
Preferred Qualifications
- Experience in a luxury hospitality or five-star hotel setting
- Certification in Executive Secretarial Studies or Professional Administration
- Advanced proficiency in database management and scheduling software
- Proficiency in Hindi, French, or German
