About the role

Responsibilities

  • Provide comprehensive administrative support to senior leadership within the Early Clinical Development Team
  • Manage complex calendars and proactive scheduling to ensure meeting priorities and timelines are met
  • Coordinate travel arrangements and prepare detailed expense reports
  • Organize meetings and events, including room scheduling, AV assistance, and catering coordination
  • Prepare meeting materials, pre-reads, and ensure manager preparedness
  • Create purchase orders and assist in reconciling open purchase requisitions
  • Maintain office operations, including supply requisition and other administrative services
  • Serve as a key point of contact for resolving payment, invoicing, and ordering issues
  • Support team leads and external collaborations with basic project management and onboarding tasks

Requirements

  • High School degree, some college, or degree desirable
  • Minimum of 8 years of executive-level administrative or comparable experience
  • Experience in a scientific research environment (Pharmaceutical, biotech, or venture capital preferred)
  • High proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent communication skills and the ability to work both independently and collaboratively

Preferred Qualifications

  • Knowledge of Concur, Ariba/SAP, SharePoint, Room Scheduler, Workday, or Microsoft Teams
