About the role
Responsibilities
- Provide comprehensive administrative support to senior leadership within the Early Clinical Development Team
- Manage complex calendars and proactive scheduling to ensure meeting priorities and timelines are met
- Coordinate travel arrangements and prepare detailed expense reports
- Organize meetings and events, including room scheduling, AV assistance, and catering coordination
- Prepare meeting materials, pre-reads, and ensure manager preparedness
- Create purchase orders and assist in reconciling open purchase requisitions
- Maintain office operations, including supply requisition and other administrative services
- Serve as a key point of contact for resolving payment, invoicing, and ordering issues
- Support team leads and external collaborations with basic project management and onboarding tasks
Requirements
- High School degree, some college, or degree desirable
- Minimum of 8 years of executive-level administrative or comparable experience
- Experience in a scientific research environment (Pharmaceutical, biotech, or venture capital preferred)
- High proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint)
- Excellent communication skills and the ability to work both independently and collaboratively
Preferred Qualifications
- Knowledge of Concur, Ariba/SAP, SharePoint, Room Scheduler, Workday, or Microsoft Teams
