About the role

Responsibilities

  • Manage the founder's inbox and calendar to maintain "Inbox Zero" and optimize scheduling.
  • Lead CRM management by configuring Odoo, migrating order tracking, and maintaining lead databases.
  • Coordinate corporate gifting orders from initial intake through fulfillment, including custom branding details.
  • Support sales processes through prospecting, follow-ups, and managing relationship-gifting practices.
  • Monitor inventory levels and track production timelines in coordination with the production manager.
  • Assist with social media content scheduling and basic marketing initiatives.
  • Manage vendor communications and compile recurring company performance scorecards.

Requirements

  • 3+ years of experience in an Executive Assistant, Office Manager, or Operations Support role.
  • Proven expertise in email and calendar management for executives or founders.
  • Proficiency with CRM tools such as HubSpot, Zoho, Salesforce, or Monday.com (or a strong aptitude to learn Odoo).
  • Strong written and verbal English communication skills.
  • Must be based in LATAM and available to work during US Central Time.
  • Highly detail-oriented with the ability to manage multiple workstreams independently.

Preferred Qualifications

  • Experience with inventory or production tracking in e-commerce or manufacturing.
  • Familiarity with bulk order fulfillment or B2B order coordination.
  • Basic social media management or graphic design experience using tools like Canva.
  • Previous experience supporting small business owners or founders directly.
