About the role
Responsibilities
- Manage, plan, and administer administrative operations for the Vice Chancellor and Associate Vice Chancellor unit.
- Serve as the primary point of triage for high volumes of information, correspondence, and requests.
- Coordinate executive-level calendars, complex scheduling, and business travel arrangements.
- Communicate professionally with faculty, donors, campus leaders, and community partners.
- Develop and prepare donor and funding reports and maintain meeting records in the donor database.
- Provide logistical support for meetings and events, including facilities, catering, and audiovisual requirements.
- Process vendor purchase orders, invoices, and employee travel and expense reimbursements.
- Maintain strict confidentiality regarding sensitive donor and organizational information.
Requirements
- 3+ years of related administrative experience.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Familiarity with Adobe and DocuSign.
- Strong analytical, problem-solving, and communication skills.
- High level of political acumen and sensitivity to organizational dynamics.
- Proven ability to handle confidential information with extreme discretion.
Preferred Qualifications
- Bachelor's degree in a related field.
- Familiarity with university processes, protocols, and procedures.
