About the role

Responsibilities

  • Manage, plan, and administer administrative operations for the Vice Chancellor and Associate Vice Chancellor unit.
  • Serve as the primary point of triage for high volumes of information, correspondence, and requests.
  • Coordinate executive-level calendars, complex scheduling, and business travel arrangements.
  • Communicate professionally with faculty, donors, campus leaders, and community partners.
  • Develop and prepare donor and funding reports and maintain meeting records in the donor database.
  • Provide logistical support for meetings and events, including facilities, catering, and audiovisual requirements.
  • Process vendor purchase orders, invoices, and employee travel and expense reimbursements.
  • Maintain strict confidentiality regarding sensitive donor and organizational information.

Requirements

  • 3+ years of related administrative experience.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Familiarity with Adobe and DocuSign.
  • Strong analytical, problem-solving, and communication skills.
  • High level of political acumen and sensitivity to organizational dynamics.
  • Proven ability to handle confidential information with extreme discretion.

Preferred Qualifications

  • Bachelor's degree in a related field.
  • Familiarity with university processes, protocols, and procedures.
