About the role
Responsibilities
- Provide high-level administrative and executive support to the COO of Ceremony of Roses, including calendar, inbox, and travel management.
- Oversee daily operations of the Culver City office, including supply procurement, snack/beverage stocking, and mail distribution.
- Manage office logistics such as floor plans, seating charts, and new employee onboarding (badge access, parking, and workspace setup).
- Plan and execute company-wide events, including artist/industry events, team building, and holiday parties, while managing budgets and vendor relations.
- Handle financial administrative tasks including expense reporting in Concur, processing invoices, and reconciling AMEX statements.
- Coordinate with Production and Product Development teams to ensure showroom and production spaces are organized and maintained.
- Prepare presentations, data collections, and reports using PowerPoint and Excel.
Requirements
- 2+ years of experience in an administrative or executive assistant role (experience in the music industry is preferred).
- Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).
- Strong written and verbal communication skills.
- Highly organized with exceptional attention to detail and a proactive approach to problem-solving.
- Ability to handle confidential information with extreme discretion.
- Flexibility with working hours to meet business needs.
Preferred Qualifications
- Bachelor's Degree.
- Experience with Concur, Asana, or BOX.
- A hospitality-focused approach to interacting with artists and industry professionals.
