About the role
Responsibilities
- Manage the VP’s complex calendar, prioritizing meetings and resolving scheduling conflicts across multiple time zones.
- Organize intricate international and domestic travel, including flight bookings, hotel accommodations, visas, and expense reports.
- Prepare executive-level presentations, briefing documents, agendas, and background research.
- Act as a gatekeeper for the VP, screening emails and prioritizing competing demands based on business impact.
- Track ongoing activities and action items to ensure follow-through on key deadlines and commitments.
- Coordinate special projects, department activities, and events such as workshops, conferences, and off-site meetings.
- Manage contract reviews, signatures, and the documentation of executed contracts.
Requirements
- Associate’s or Bachelor’s degree in Business Administration or a related field.
- 3+ years of relevant work experience in office administration and executive support.
- Proficiency in productivity tools including Microsoft Teams, Excel, PowerPoint, Jira, and Confluence.
- Basic knowledge of budgeting and finance.
- Strong organizational, communication, and project coordination skills.
- Ability to handle confidential information with high discretion and integrity.
- Valid US Driver's License.
Preferred Qualifications
- German language skills.
- Experience working within a global company.
- Familiarity with Mercedes-Benz or Daimler AG organizational processes.
