Executive Assistant

Responsibilities

• Manage demanding and complex diaries, including international travel bookings, visas, and detailed itineraries
• Proactively manage the CEO’s inbox and prioritize enquiries and requests
• Organize conferences, client hospitality, events, and seminars
• Coordinate meetings with internal and external stakeholders across different time zones
• Format and compile documentation, including agendas, minute-taking, and board actions
• Prepare and submit expense reports and assist with special projects and presentations
• Provide ad hoc administrative support and event planning for other department heads

Requirements

• Proven experience managing complex international travel bookings (essential)
• Previous experience in a similar role within financial or professional services (essential)
• Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
• Ability to work effectively in a high-pressure, fast-moving environment
• Exceptional organizational, multi-tasking, and problem-solving skills
• Strong interpersonal and communication skills with a customer service focus
• Meticulous attention to detail and the ability to maintain strict confidentiality
