About the role
Responsibilities
- Provide advanced tactical and strategic administrative support to upper-level executives
- Manage complex executive calendars, proactively resolving conflicts and prioritizing appointments
- Coordinate all aspects of executive travel, including international itineraries, visas, and budgets
- Act as a primary gatekeeper for communications, screening calls and emails on behalf of executives
- Prepare detailed meeting agendas, take minutes, and follow up on critical action items
- Handle sensitive and confidential information with the highest level of discretion
- Generate statistical and analytic reports and presentations to provide strategic insights
- Partner with the Chief of Staff on high-level planning and prioritization
- Coordinate administrative work across various departments and divisions
- Coach and mentor entry-level administrative support staff
Requirements
- 8+ years of related work experience, preferably in senior administrative support roles
- Proven expertise in complex calendar management and travel coordination
- Extensive experience providing advanced administrative support to upper-level executives
- High School Diploma, GED, or equivalent commensurate work experience
- Strong proficiency in Microsoft SharePoint and SAP Concur (or similar travel/invoice software)
- Exceptional communication skills and ability to interact with internal and external stakeholders

- Experience working within a large, complex global organization
- Advanced skills in creating executive-level presentations and analytic reports
- Demonstrated ability to manage high-pressure situations and last-minute travel emergencies
