About the role

Responsibilities

  • Provide advanced tactical and strategic administrative support to upper-level executives
  • Manage complex executive calendars, proactively resolving conflicts and prioritizing appointments
  • Coordinate all aspects of executive travel, including international itineraries, visas, and budgets
  • Act as a primary gatekeeper for communications, screening calls and emails on behalf of executives
  • Prepare detailed meeting agendas, take minutes, and follow up on critical action items
  • Handle sensitive and confidential information with the highest level of discretion
  • Generate statistical and analytic reports and presentations to provide strategic insights
  • Partner with the Chief of Staff on high-level planning and prioritization
  • Coordinate administrative work across various departments and divisions
  • Coach and mentor entry-level administrative support staff

Requirements

  • 8+ years of related work experience, preferably in senior administrative support roles
  • Proven expertise in complex calendar management and travel coordination
  • Extensive experience providing advanced administrative support to upper-level executives
  • High School Diploma, GED, or equivalent commensurate work experience
  • Strong proficiency in Microsoft SharePoint and SAP Concur (or similar travel/invoice software)
  • Exceptional communication skills and ability to interact with internal and external stakeholders

Preferred Qualifications

  • Experience working within a large, complex global organization
  • Advanced skills in creating executive-level presentations and analytic reports
  • Demonstrated ability to manage high-pressure situations and last-minute travel emergencies
