About the role

Responsibilities

  • Manage and prioritize the Senior Vice President for Development’s complex and dynamic calendar, resolving conflicts and aligning with strategic objectives.
  • Draft, review, and refine correspondence, presentations, and briefing materials to ensure alignment with executive messaging standards.
  • Serve as a key liaison between the Office of Development and the Office of the Dean of the Faculties of the Health Sciences.
  • Prepare meeting materials, including agendas, background documents, and prospect briefing materials.
  • Manage expense submissions and ensure compliance with institutional guidelines.
  • Maintain contact records and meeting notes within the Salesforce database.
  • Provide logistical support for departmental meetings, retreats, and team events, including catering and room reservations.
  • Support team-wide operational needs, such as onboarding/offboarding logistics and office supply management.

Requirements

  • Bachelor's degree or equivalent in education and experience.
  • 3 years of related administrative experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to manage multiple projects and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to exercise sound judgment, discretion, and maintain strict confidentiality.

Preferred Qualifications

  • Minimum of 4 years of progressively responsible administrative support experience.
  • Experience working in a fast-paced executive office or a development/fundraising environment.
