About the role
Responsibilities
- Provide executive-level administrative support to the Director and Vice President, including complex calendar management and travel coordination.
- Lead the coordination of CAA Board communications, meetings, conference calls, and related activities.
- Oversee the accuracy and integrity of CAA Board data and assist in establishing effective data management procedures.
- Coordinate administrative support for various committees, including preparing agendas, meeting materials, and tracking action items.
- Manage communications and logistics for the Columbia Alumni Directors program and Alumni Association Presidents meetings.
- Serve as a key liaison between senior University leadership, faculty, alumni volunteers, and external stakeholders.
- Prepare reports, presentations, briefing materials, and executive correspondence to support strategic planning.
- Develop and implement administrative processes and workflows to enhance operational efficiency.
Requirements
- Bachelor's degree or equivalent.
- 2–4 years of related administrative or executive support experience.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite (especially Excel) and Google Workspace.
- Demonstrated ability to manage multiple competing priorities in a fast-paced environment.
Preferred Qualifications
- Experience working with databases.
- Experience working within a higher education environment or a development office.
- Demonstrated proficiency in project management, teamwork, and customer service.
