About the role
Responsibilities
- Maintain detailed, up-to-date calendars and proactively manage scheduling conflicts and priorities
- Coordinate complex domestic and international travel itineraries
- Plan and execute high volumes of onsite and offsite events, including meetings and roadshows
- Process T&E expenses for team members in adherence to company policy
- Screen incoming calls and exercise discretion when handling sensitive information
- Draft high-quality emails and communications for stakeholders at all organizational levels
- Support ad hoc projects, including editing spreadsheets and preparing presentation materials
Requirements
- 3+ years of administrative experience, including supporting senior leadership through the Managing Director level
- Advanced calendar management and organizational skills
- Proficiency in Microsoft Office and experience using Co-Pilot, LLM Suite, or other AI technology tools
- Knowledge of expense and invoice processing
- Strong interpersonal, written, and oral communication skills
- Ability to work onsite five days a week in San Francisco (6:00 AM - 2:30 PM)
