About the role

Responsibilities

  • Proactively manage high-volume calendar appointments across multiple time zones, accommodating last-minute changes and urgent business needs.
  • Set and execute time-management strategies for the Vice President to ensure alignment with top priorities.
  • Coordinate end-to-end global travel management, including flights, hotels, detailed itineraries, and troubleshooting.
  • Arrange meetings and full-day workshops, managing logistics such as conference room bookings and catering.
  • Lead department-wide communications and activities, including Global Townhalls and team culture events.
  • Manage expense reports, track team expenditures, and monitor T&E budgets.
  • Support recruitment and onboarding/offboarding processes for team members and contractors.
  • Maintain accurate electronic databases, including distribution lists, contact files, and payroll duties.

Requirements

  • 3-5 years of experience in an executive assistant capacity, preferably within a fast-paced global company.
  • Proven expertise in complex calendar management and global travel coordination.
  • High proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • Experience using macOS, Slack, and Concur.
  • Minimum of a high school diploma.
  • Exceptional organizational, time management, and prioritization skills.
  • Ability to handle highly confidential information with discretion and professionalism.

Preferred Qualifications

  • Experience working within a large-scale engineering or technology organization.
  • Proficiency with AI tools to assist with day-to-day administrative activities.
  • Strong ability to perform basic data analysis and manipulate reports.
