About the role
Responsibilities
- Proactively manage high-volume calendar appointments across multiple time zones, accommodating last-minute changes and urgent business needs.
- Set and execute time-management strategies for the Vice President to ensure alignment with top priorities.
- Coordinate end-to-end global travel management, including flights, hotels, detailed itineraries, and troubleshooting.
- Arrange meetings and full-day workshops, managing logistics such as conference room bookings and catering.
- Lead department-wide communications and activities, including Global Townhalls and team culture events.
- Manage expense reports, track team expenditures, and monitor T&E budgets.
- Support recruitment and onboarding/offboarding processes for team members and contractors.
- Maintain accurate electronic databases, including distribution lists, contact files, and payroll duties.
Requirements
- 3-5 years of experience in an executive assistant capacity, preferably within a fast-paced global company.
- Proven expertise in complex calendar management and global travel coordination.
- High proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Experience using macOS, Slack, and Concur.
- Minimum of a high school diploma.
- Exceptional organizational, time management, and prioritization skills.
- Ability to handle highly confidential information with discretion and professionalism.
Preferred Qualifications
- Experience working within a large-scale engineering or technology organization.
- Proficiency with AI tools to assist with day-to-day administrative activities.
- Strong ability to perform basic data analysis and manipulate reports.
